Prior to Booking:
All inquiries and questions should be submitted to The Balloon Babe by email at Ashley@theballoonbabe.com (preferred), by phone (484) 919-8432, or on our website at www.theballoonbabe.com.
Interested parties will be emailed a short design questionnaire to complete prior to booking, unless deemed unnecessary by The Balloon Babe. This questionnaire is intended to capture all available event details to provide the most accurate pricing and best prepare for the event. The Balloon Babe is available by email, text, or phone to discuss the questionnaire and, if able, will provide recommendations and/or suggestions on design and event planning.
Pricing:
Pricing is nonnegotiable. Discounting is offered at owner’s discretion. Please see pricing tab for a comprehensive list of services and offerings.

Sales Tax:
A 7% Florida sales tax will be added to every invoice. Tax exempt entities must provide proof of exemption prior to booking.
Booking & Payment:
Bookings are conducted on a first come, first serve basis. The Balloon Babe is unable to hold an event date without payment in the form of a deposit or retainer fee. A non-refundable retainer fee of $250 may be issued to reserve a date in The Balloon Babe event calendar. The retainer fee will go towards the final balance.
To reserve a date, a 50% non-refundable deposit is required at booking. The remaining balance is due the day before the event date, install, order pickup, or delivery date. The full invoice amount is due at booking if booking occurs within seven days of the event date, install, order pickup, or delivery date. Clients may request to pay in full at the time of booking.
The following payment methods are accepted: Venmo (preferred), Zelle (preferred), Credit Card, Cash, or Check. Credit card payments are subject to a 2.9% processing fee as of January 1, 2024. Clients may opt out by selecting a different payment method.
Rush Orders:
Any order placed within seven days of the event date is subject to a rush order fee. This fee covers any expedited shipping costs that may be required to fulfill the order in time for the event date, install, order pickup, or delivery date. The rush order fee amount is dependent upon the total expedited shipping costs.
Cancellation / Rescheduling / Restocking Fees:
All initial deposits and/or retainer fees are nonrefundable (unless otherwise negotiated by The Balloon Babe).
If a cancellation is needed, a credit equal to the initial deposit amount will be held for up to one year from the original event date. If the event is not rescheduled within the allotted time, the credit will be void.
If a rescheduled date is requested, the NEW event date must be communicated as soon as possible to avoid restocking fees and confirm availability with The Balloon Babe. A rescheduled date is not guaranteed. If the rescheduled date is not available, a credit equal to the initial deposit amount will be held for up to one year from the original event date.
If a client reschedules within 7 days of the event date, the NEW event date MUST occur within two weeks of the original event date to avoid restocking fees.*
*THE RESTOCKING FEE IS 25% OF THE INVOICE TOTAL.
Event Preparation:
At least two weeks before the event, The Balloon Babe will contact the client to review the event details, such as balloon colors, vinyl personalization, specialty balloons, backdrop colors, and day-of logistics.
All orders are prepped anywhere from 3-6 days prior to the event. If the client needs to make changes to their order, they MUST contact The Balloon Babe at least seven days before their event.
Rentals:
All orders containing rentals (including but not limited to wooden backdrops, stands, LED signs, rugs, chairs, furniture, podiums, etc.) require a “strike fee” for clean-up and/or pickup and/or tear down of the rental equipment. If there are no rentals in the order, the client may opt out of the strike fee. See below under “strike fee” for more information and pricing.
During installation, wooden backdrops and stands will be secured and weighed down with at least one 25-pound bag of sand. Depending on the size and scale of the display, additional weights may be added. Once installed, clients MUST NOT touch or move the balloon/backdrop display without consulting with The Balloon Babe first.
Day-Of Event Installation & Logistics:
Depending on the size and scale of the event, The Balloon Babe will arrive at least two and a half hours prior to the event time (pending venue accessibility; see below).
Most installations require at least 90 minutes to complete from start to finish. Installation date and time will be discussed and agreed on during the event preparation stage. If available, The Balloon Babe may be able to install the day or evening before.
Privately-Owned Venues & Event Centers:
Some privately owned venues and event centers, such as restaurants, country clubs, convention centers, etc., have strict rules and restrictions on balloon decor. Please communicate or indicate these rules and restrictions on The Balloon Babe design questionnaire prior to booking. If the setup window provided by the venue is less than one hour, an alternative to on-site installation or a pickup order may be necessary.
If anything should change with the venue prior to the event date, it is the client’s responsibility to communicate these changes to The Balloon Babe at least 72 hours, or as much advanced notice as possible, prior the event.
Strike (Cleanup) Fee / Rental Pickup Up:
Clients may opt out of the Strike (Cleanup) Fee but are responsible for cleaning up all balloons from event venues, marquee lights, etc.
If the client’s order does not contain rental equipment or items requiring a pickup, clients may opt out of the pickup fee.
· Strike Fee: $25-100 depending on volume
· Pickup Fee: $1.50 per mile both ways
The Balloon Babe will return after the event has concluded to cleanup and/or pick up/tear down rental equipment. This date and time will be agreed upon with the client prior to the event date.
Disclaimer:
After an order has been delivered, installed, or picked up, The Balloon Babe is not liable for any damages that may occur. The Balloon Babe uses the highest quality balloons and materials sourced from professional distributors; however, some balloons may pop or deflate due to uncontrollable environmental factors. This is including but not limited to any type of weather, children, pets, sharp objects or obstructions, and foliage. Any balloons that pop during transportation or setup will be replaced onsite.
The Balloon Babe is not liable for any injuries that occur after installation. We strongly encourage our clients to refrain from touching or moving any balloon displays and/or rental equipment that has been professionally installed by The Balloon Babe once they are in place.
Insurance:
The Balloon Babe, at its sole expense, agrees to obtain and maintain for the term of this Agreement the following insurance coverages with a carrier having an AM Best rating of A or higher:
(a) General Liability must be written at a minimum limit of $1,000,000 each occurrence and $1,000,000 general aggregate.
(b) Workers’ Compensation must be maintained per state statute where work is being performed for Client.
The General Liability policy provided for herein must name __________________ as an additional insured under the policy, and each policy of insurance required in this Agreement must be primary and non-contributory against Client or its affiliates. The Balloon Babe must provide to Client written proof that these requirements have been incorporated into The Balloon Babe’s policies.
The Balloon Babe agrees to furnish to Client a current and valid certificate of insurance evidencing the insurance coverage required by this Agreement together with the agreement of the insurance company that such coverages must not be terminated without providing Client with at least thirty (30) days prior written notice. The Balloon Babe agrees to keep and maintain said insurance coverage in full force and effect during the term of this Agreement. Any policy renewals or replacements must not be made more restrictive. The Balloon Babe must report to Client immediately any termination, modification or alteration that reduces The Balloon Babe’s coverage.
